
BOOKING TERMS AND CONDITIONS
1. DEFINITIONS:
In these Conditions of Booking, 'we', 'us' and 'our' are references to Tropical Vibes and 'you' and 'your' are references to the person booking the Holiday with us. 'The Holiday' means the holiday which you have reserved and which we will provide to you under the Contract. ‘The Travel Agent’ ‘them’ ‘their’ and ‘they’ are references to our travel agency, Sackville Travel who will issue the airline tickets, accommodation vouchers & insurance policy.
2. PRICES:
2.1 The price of this trip is is based on 2/3 adult people sharing. Child or Infant prices are given on application.
2.2 Single rooms are available for a supplement. Price on application
2.3 The price is fixed at the time of booking and generally will not be subject to surcharges.
2.4 The only exception to this will be an increase in costs arising as a result of any government action including but not limited to new or increased airport/fuel taxes. You will be notified of this increase and you will be entitled to a full refund of all monies paid in respect of your booking.
2.5 Should you decide to cancel because of this then you must exercise your right to do so within fourteen days from the date we advised you of the amount due.
3. BOOKINGS/RESERVATIONS METHODS:
To make a reservation for this holiday you can:
a. call our dedicated telephone number and supply your name as recorded in your passport together with any additional members of your party together with a valid credit card ,in your name, also to include the billing address for all applicable deposits & insurance premiums then mail signed copy of Terms & Conditions to address shown on booking form.
b. mail the booking form in with either cheque or credit card details completed to the address shown for deposit(s) & insurance premium(s). Booking will be made only if also in receipt of signed copy of Terms & Conditions.
c. deliver your signed booking form, deposit & Terms of Conditions to our Travel Agent.
4. SINGLE SHARING:

5. CHANGES/CANCELLATIONS:
5.1 Name changes are only allowed permitted prior to ticket issue.
5.2 For cancellations a fee of 100% applies.
5.3 Final payments not received by the due date will be cancelled and fee of 100% cancellation applies.
6. DEPARTURE FROM GATWICK:
6.1 Flights will be operated by Thomson Holidays from Gatwick North Terminal.
6.2 Online Check-In will open 24hours prior to departure. Check-In at Gatwick is 3 hours prior to scheduled departure.
6.3 Baggage allowances & weight restrictions will be provided with your confirmation.
7. PRE-EXISTING MEDICAL/DISABILITIES:
7.1 Whilst we will always reasonably fulfil a duty of care to all travellers, it is your responsibility to make proper contingency for any pre-existing illness or disability.
7.2 Two of our events require the ability to walk up and down a steep incline and also traverse a waterfall. No lifts or ramps are available at these venues.
7.3 We will provide advice and guidance regarding the suitability of our holiday on an individual basis, but cannot be held responsible for any circumstances arising from a failure to disclose any illness or disability, which may render the holiday unsuitable or untenable.
8. INSURANCE:
It is a condition of booking that all travellers be covered by comprehensive travel insurance and do not travel against medical advice. You should organise it immediately you book, so as to be covered in case of the ill health of yourself, a close relative or your travelling companion.
If you do not wish to take out the insurance offered by the Travel Agent, we must be provided with details of your comparable or greater cover and policy at the latest, one month prior to departure.
9. DOCUMENTATION:
Please notify Tropical Vibes of any medical conditions prior to departure, and ensure you travel with any necessary medications or authorization.
Where travel and health documents are necessary to comply with the requirements of the country you wish to visit then it is your responsibility to procure them. If failure to obtain any such documents results in fines, surcharges or any other financial penalty, being imposed upon us then you shall reimburse us accordingly. You must ensure, by consulting your own Doctor if necessary of specific precautions deemed prudent for the country/resort you intend to visit and the appropriate medication/inoculations are complied with.
10. PAYMENT:
10.1 Deposit of £150.00 is required at the time of booking. NO bookings will be held without a deposit. Full payment is due by 14 March 2017. After we receive your deposit a Confirmation/Invoice will then be sent to you. If the balance is not paid on time we shall retain your deposit and reserve the right to cancel your arrangements.
10.2 Any cheques returned, “REFER TO DRAWER” will incur a surcharge of £25.00 per cheque. This amount will be added to your account.
10.3 You can use your credit card to pay monthly and by stating YES under the Payment Plan your account will be charged automatically on 14 March 2017 the final balance plus the applicable card company surcharge. (See booking form for charges)
11. RESPONSIBILITY & OBLIGATIONS:
11.1 You must ensure that any medical or other attendance that you require is provided by you.
11.2 You agree that you may be photographed in the course of the Holiday for the purpose of Our future publicity and that any written comments you make about the Holiday may be published by Us.
11.3 You agree to abide by any reasonable directions (especially any given on account of health and safety), given by Our representatives in the course of the Holiday.
11.4 You agree to behave in a reasonable and responsible manner and, in particular that you will do nothing which might endanger the health and safety of any person involved in the Holiday or which might result in personal injury to any person or loss of or damage to property belonging to Us, its representatives or other Clients.
11.5 You agree that it is your responsibility to carry any necessary valid passport or visa, necessary for the Holiday and, in any event even for domestic tours, always to carry some official means of photographic identification, such as a valid driving licence.
11.6 You agree to inform us of any special requests at the time of booking. We will advise the relevant supplier of such requests but cannot guarantee that they will be met. Furthermore, We have no liability to you if such requirements are not met.
11.7 You will be responsible for all items in your accommodation, i.e. any incidentals, breakages and damages to be paid by you in full directly to the hotel.
12. DEPARTURE FROM MONTEGO BAY:
Please note that you are free to visit friends and relatives whilst in Jamaica, however it is your responsibility to ensure that:
a) you arrive at Montego Bay airport no later than 3hours prior to departure
b) you are at the designated meeting point at the hotel for the scheduled departure to the airport.
We cannot be held responsible for any additional cost arising from missed flights.
13. INCLUSIONS:
13.1 Return air travel from UK to Jamaica.
13.2 Return transfers from Montego Bay Airport to Hotel as long as travelling on the actual holiday dates 23 May to 02 Jun 17. Guests wishing to stay longer please note that the return transfer is NOT included.
13.3 All meals and drinks (excluding Champagne) are included for the duration of your stay at the resort
14. EXCLUSIONS:
14.1 Day trips, attractions and tours
14.2 Tropical Vibes events
14.3 Any additional costs which you incur hotel i.e. telephone calls, dry cleaning etc., can be charged to your room, you will be required to pay for any extra’s on checking out of the hotel.
15. FRIENDS & RELATIVES
We welcome friends & relations living on the island to our events outside of the hotel. There is a nominal charge for each event and the prices will be given on application.
16. FORCE MAJEURE
16.1 Neither party shall be liable for any breach of its obligations resulting from causes beyond its reasonable control including fire, natural disaster, war or military hostilities and strikes of employees. It does not include merely inclement weather conditions.
16.2 Each of the parties agrees to give notice immediately to the other upon becoming aware of an event of force majeure such notice to contain details of the circumstances giving rise to it.
16.3 Neither party shall have any liability to the other in respect of the termination of this agreement as a result of force majeure, except in relation to liabilities accrued before the occurrence of the force majeure.
